Privacy Notice
Version 2026-08-12. This notice explains how ClubsConnect handles personal data under the UK GDPR and the Data Protection Act 2018.
Who we are
ClubsConnect (“we”, “us”) organises the ClubsConnect South East exhibition for grassroots sports clubs. We are the data controller for the personal data described below. You can contact us at info@clubsconnect.co.uk.
What we collect
- Visitor registrations: name, email address, mobile number, club or organisation, your position at the club, sport/discipline, and the names, positions and (optional) email addresses of any colleagues you book tickets for.
- Exhibitor sign-ups: business name, industry, description of services, contact name, email address, phone number and preferred package.
- Event updates sign-up: your email address.
- On the day: the time your ticket QR code is scanned at the welcome desk.
- Consent records: which options you ticked, when, and the version of this notice that applied.
If you book a ticket for a colleague, please make sure they are happy for you to share their details with us; we will send them their ticket directly where you give us their email address.
Why we use it and our legal basis
- Issuing and managing tickets, entry passes and event logistics — performance of a contract / taking steps at your request.
- Essential event emails (ticket confirmation, QR code, reminders, changes to the event) — performance of a contract. These are not marketing and you will receive them even if you do not opt in to updates.
- Responding to exhibitor enquiries and arranging stands — legitimate interests / steps towards a contract.
- Marketing about future ClubsConnect events, speakers and competitions — your consent (or, for existing exhibitor customers, the soft opt-in for similar services). You can withdraw consent at any time.
- Sharing visitor contact details with exhibitors — only where you have separately opted in. We do not sell your data.
Who we share it with
We use trusted service providers to run the event and our systems: our website and database hosting provider, and our email delivery provider. They process data on our instructions only. We do not share your details with exhibitors or any other third party for their own marketing unless you have ticked the box to allow it. We may disclose data where the law requires it.
How long we keep it
- Visitor and exhibitor records: up to 3 years after the event, then deleted.
- Marketing contacts: until you unsubscribe or withdraw consent, and reviewed at least every 2 years.
- Unsubscribe and suppression records: kept indefinitely so that we do not contact you again by mistake.
Your rights
You have the right to access your data, correct it, ask us to delete it, object to or restrict our use of it, withdraw consent at any time, and ask for a copy in a portable format. Every marketing email includes a one-click unsubscribe link. To exercise any right, email info@clubsconnect.co.uk and we will respond within one month.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
Security and storage
Data is stored in our secured event database with access restricted to ClubsConnect organisers. Data is held within the UK/EEA by our hosting providers; where a provider transfers data outside the UK, it is protected by UK-approved safeguards such as the International Data Transfer Addendum.
Cookies
This site uses only the cookies and local storage strictly necessary to run the website and your registration session. We do not use advertising or third-party tracking cookies.
Please review this notice and tell us if any detail (retention periods, contact address, registered company details or ICO registration number) needs to be changed to match how ClubsConnect actually operates.
